FleetCollect, a compliance platform for trucking fleets, has announced a new feature that automatically sends SMS text reminders to drivers when their Driver Qualification File (DQF) documents are approaching expiration. The feature is designed to address a common pain point for motor carriers: forgotten renewals that lead to compliance gaps and failed audits.
Under FMCSA regulation 49 CFR §391.51, every motor carrier must maintain a DQF for each driver, comprising 18 documents across pre-employment records, annual reviews, and ongoing testing. According to FleetCollect, these files are the first thing DOT auditors inspect and the most frequently found deficient. Common issues include medical card lapses, overdue MVR reviews, and outdated CDL copies that go unnoticed until an auditor arrives.
FleetCollect tracks all 18 §391.51 items on a single dashboard, integrates with Checkr for MVRs and background checks, uses OCR to read uploaded documents, and allows drivers to upload records via a secure portal. The new automatic SMS reminders target the critical renewal step: as each document nears expiration, FleetCollect texts the driver directly at 30, 14, 7, and 1 day out, and again if it lapses, with a secure link to upload the renewal. This shifts the burden of chasing paperwork from the office to the driver, ensuring files remain compliant without manual follow-up.

The reminders run automatically on every plan and are not a paid extra. Each message includes a "Reply STOP to opt out" option, and texting operates only on carrier-attested driver consent.
